Who we are

We are Young Masters Kung Fu. We Provide kung fu classes for children in Southampton, Hampshire. Young Masters Kung Fu takes your privacy seriously. This privacy policy is in accordance with the GDPR (General Data Protection Regulations 2018) and contains information regarding what data is collected about you, why and how it is used, and your rights.

Information that is collected about you

Information is given by you by way of direct email enquiry, website contact form, phone, social media or application forms. This information can include, but is not limited to, your name, your child’s name, date of birth, address, email address and phone number. Sensitive information, for example, regarding any relevant health information or anything you choose to disclose that could impact your child’s needs and safety during classes, may also be held.

Why we need your personal information

Personal information is needed to be able to administer your membership and insurance requirements, and relevant clothing orders, so you receive the services and goods that are due to you. Sensitive information is needed to ensure your child receives relevant due care and attention and to make sure measures can be taken to keep children safe.

Confidentiality and how your information is protected

Young Masters Kung Fu respects confidentiality and your privacy.  A child’s details will only be shared with the parent/guardian of that child. Details of children under 18 years of age can only be taken by, and with the consent of the parent/guardian. Personal and contact details will not be shared with third parties unless there is a safeguarding issue. Information given in relation to membership/insurance purposes that need to be forwarded to the governing body MAAS (Martial Arts All Styles), will held according their privacy policy (http://www.maas.co.uk/gdpr-policy.php).

Personal data is stored securely in a lockable file. Computerised information is encrypted or password protected and is stored on a separate USB, not on a hard drive. Computer information is firewall protected.

Young Masters Kung Fu website is SSL (Secure Sockets Layer) enabled, which ensures that all data transmitted between the web server and the browser is encrypted. However, you should be aware that the use of the internet is not entirely secure and for this reason Young Masters Kung Fu cannot guarantee absolute security of information that is transferred via the internet.

Should there be any known breach, you will be notified and the incident reported to the ICO (Information Controllers Office) within GDPR guidelines of 72 hours, and any breach will be dealt with to the best of Young Masters Kung Fu’s ability.

Although your personal data is not shared with third parties other than to those expressed in this privacy policy, the internet and electronic methods of communication may be privy to transferring or holding information. How we use your information

Your data is kept securely and not used for marketing purposes; however, there may be times we may need to share or use your personal data, for example:

Processing application forms for membership and insurance purposes. This information is forward to the governing body MAAS (Martial Arts All Styles) who share the information with their approved insurance supplier/s.

To provide/confirm information about school activities, membership, invitations to events, notification and reminders of payment, any holiday closing/re-opening dates, or any pertinent information.

Providing information about promotions and offers.

Providing information about selling/purchasing merchandise, clothing or equipment.

Any sensitive personal data that we may hold, for example, medical information, may also be shared with other instructors at Young Masters Kung Fu or the emergency services to allow the safe running of any training sessions/events and to ensure the safety of your child. This information will never be given unnecessarily. Your explicit consent is required to give this information and will be asked for accordingly. It is assumed the parent/guardian will accompany their child(ren) during classes/events, but in the event they are not present and there is an emergency whereby a child’s health and safety is compromised, necessary details only may be given to the emergency services to ensure the child’s wellbeing.

If you join Young Masters Kung Fu on social media, please note that providers of these platforms have their own privacy policies and that Young Masters Kung Fu does not accept any responsibility or liability for these policies. Please check these policies before you submit any personal data on the school social media pages.

Young Masters Kung Fu does not share any personal information it holds to any third party, other than what is stated in this privacy policy.

Young Masters Kung Fu may be required to share any information that we hold with law enforcement agencies where we are legally obliged to do so.

Young Masters Kung Fu does not store or transfer your personal data outside of the U.K. It is stored on private premises with access by no third parties.

How long we hold your personal data

Any personal information is held during the length of membership and will be destroyed/deleted after three years of inactive membership, unless we are lawfully obliged to keep such records for longer, for example accident records, insurance claims, invoices/receipts.

Information from general enquiries where membership was not obtained will be deleted as soon as no further contact is required, unless agreed by you that your information will be held for the purpose on informing you of any new class times or days.

Your rights regarding your personal data

You have the right at any time to request a copy of, correction of, or erasure of your personal data; to restrict or object to certain kinds of processing of your personal data; and to complain to the UK’s data protection supervisory authority, the Information Commissioner’s Office (ICO) about the processing of your personal data.

You are not obliged to share your personal data with Young Masters Kung Fu, however, please note, if you choose not to share relevant information, MAAS will not be able to process or administer your membership/insurance which will have an effect on you joining or renewing your membership/insurance.

Changes to privacy policy

Young Masters Kung Fu will amend this privacy policy accordingly should there be any changes to its content. These changes will be updated on the website https://youngmasterskungfu.co.uk under ‘privacy policy’ so you can be aware of how your data is collected and processed.

Complaints

Should there be any complaints with regard to how your data is collected and processed, in the first instance please contact Young Masters Kung Fu. In the unlikely event the issue remains unresolved or reaches an unsatisfactory conclusion, then please contact the ICO (Information Controllers Office).
